We are James Search Partners (JSP) and our website address is: https://www.jspartners.co.

We are a Legal Recruiting Firm, specializing in sourcing Senior Corporate Legal talent. We provide a variety of services to both Candidates (job seekers, also referred to as personal users) as well as Clients (hiring leaders & companies, also referred to as business users).

We are wholly owned by our parent company, Hello Talent Brands LLC.

What personal data we collect and why we collect it

We collect data from users and site visitors on our website. This may include personal data, such as name, email address, and personal account preferences; business data, such as transactional data, such as purchase information; and technical data, such as cookie information.

Site visitors’ data: We collect data from users and site visitors to help us improve our website and understand what our visitors enjoy or visit often. This information will also help us improve our services. We do not sell or share this information with third parties.

By default, WordPress does not collect any personal data about visitors; it only collects the data shown on the User Profile screen from registered users.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, as well as the visitor’s IP address and browser user agent string, to help detect spam.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Users of our website, both business users and personal users, may submit information to us via our website forms. This information must be submitted by the user (either business user or personal user). When submitting information to us via a website form, either user type consents to share this information with us directly at the bottom of every form. It also refers to this policy.

We retain this information indefinitely as official records of all business transactions and for customer service purposes. If the user opts into marketing communications, the submitted information will also be used for marketing communication purposes.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Cookies

If you leave a comment on our site, you may opt-in to save your name, email address, and website in cookies.

We partner with an external provider, Cookie Compliance. This empowers you, as the user, to self-manage (including customizing) the cookies you may enact from our website. You will see this banner at the bottom of our webpage upon your first visit to the site. Here, you can customize the options for our website cookies, including the duration of the website cookie(s).

User Accounts & Logins

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie does not include personal data and simply indicates the post ID of the article you just edited. It expires after one day.

Analytics

Our intention of collecting data via Google Analytics is to help us better understand the use of our site, what pages are most (and least) helpful, where our visitors are from (helping us tailor the site and our services to reflect the unique needs of those regions), as well as where our users found our site. We partner with an external provider, Cookie Compliance, which is also connected to Google Analytics. This empowers you, as the user, to self-manage (including customizing) the access, information, as well as cookies taht you may enact from our website. You will see this banner at the bottom of our webpage upon your first visit to the site. For more information please view Our Ecosystem section of this policy (below).

We also use a Plugin called MonsterInsights. It is directly connected to Google Analytics and Cookie Compliance. This is (again) a way to obtain your consent for the information you share with us. For more information, please view the Our Ecosystem section of this policy (below).

By default WordPress does not collect any analytics data.

How long we retain your data

We must maintain proper records of our interactions with others, whether they be business users or personal users. Given the importance of the requests of those we interact with and to ensure we remain legally compliant and respectful, we also must maintain records of this critical data.

If you leave a comment, the comment and its metadata are retained indefinitely. This allows us to recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

All analytics data for our website is anonymized and stored for at least five years.

We store the personal information provided by users who register on our website in their user profiles. All users can see, edit, or delete their personal information at any time (except they cannot change their username), and website administrators can also see and edit that information.

When you submit your information to us, we retain this information for at least ten years. This is to ensure we maintain accurate records of the contact information submitted by all who have opted into communications and/or services from James Search Partners (JSP).

For any data or information from a business user or personal user in regard to their contact consent or communication requests, these contact preferences are retained indefinitely to ensure we comply with the last request of the business user or personal user. This can only be updated by contact from or with the business user or personal user with James Search Partners. This also ensures for those who have later opted out, we continue to maintain their most recent status requests.

Our Ecosystem herein refers to this section and all of the details included within it. Our Ecosystem refers to the ecosystem of systems and/or products we use to conduct our business.

Our Website via WordPress

We use WordPress to power our website. By default, WordPress does not share any personal data with anyone.

If you request a password reset, your IP address will be included in the reset email.

For our Candidates or Personal Users

If you are a Candidate of James Search Partners, and you have given us consent to share any details about your candidacy with potential Clients, this may be shared. As a Candidate, you can always update us on your job search (or other) preferences, and we will immediately update our records and our Client(s) if the information was previously shared. We do not employ candidates because we are a Recruitment or Talent Search Agency. We simply introduce candidates to prospective Clients. If a Candidate would like to be employed by our Clients, they must complete the application and prerequisites of employment directly with our Client. That information would be managed based on the direct consent of the Candidate with the Client, and James Search Partners is not liable for any data, information, or process with all data submitted directly between the Candidate <> Client.

For our Clients or Business Users

If you are a Client of James Search Partners, you have given us consent to share any details about your job openings with potential Candidates, then this may be shared (with respect to the strictest of confidentiality guidelines outlined within our Search Exploration process (including communications and conversations to progress the search). As a Client, you can always update us on your job openings (or other) preferences, and we will immediately update our records, as well as update our Candidate(s) if the information was previously shared. We do not employ candidates because we are a Recruitment or Talent Search Agency. We simply introduce Candidates to you, our Client. If a Candidate would like to be employed by you (our Client), they must complete the application and prerequisites of employment directly with you (our Client). That information would be managed based on the direct consent of the Candidate with you (our Client), and James Search Partners is not liable for any data, information, or process with all data submitted directly between the Client <> Candidate.

The rights you have over your data

If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.

You can also request that we erase any personal data we hold about you. This does not include any data we are Obligated to keep.

Obligated to keep

Obliged to keep includes (and may not be limited to) administrative, legal, tax, Department of Revenue (State or Federal), or security purposes.

Personal or Professional Users and Contact (and subsequent data)

We define personal users or contacts (and subsequent personal data) as reaching out to you as an individual.

We define business users or contacts (and subsequent professional data) as reaching out to you as a professional representing an organization or business.

Request to Erase Personal Data

All personal data erase requests must be made in writing via email. To make an erase personal data request, simply send us an email to mydata@jspartners.co or reply directly to the message you were sent. We will erase your personal data from our databases, except for any data we are Obligated to keep (see above).

With this request, we will also remove you from all of our outreach list(s). We will delete all allowed data and remove you from our outreach list(s) no later than 1 calendar week from the date of your received email request message.

For your notification, upon submitting a request (via our email above), we enable automatic email confirmation messages to ensure you know we have received your email request.

Request to Stop Additional or Future Messages

All requests must be made in writing. To make a request, you can simply let us know you’d like to be removed from our contact lists or outreach messages by replying to the original message.

You may also send a separate email with a written request to mydata@jspartners.co. We will remove you from our outreach list(s) no later than 1 calendar week from the date of your received email request message.

How we protect your data

We take data privacy very seriously at James Search Partners.

We take all necessary measures to maintain and protect our users’ data (whether business or personal). This includes technical measures such as encryption, security measures such as two-factor authentication, and user education measures such as staff training in data protection and limiting access to only the most essential users.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.

Otherwise, we retain your data within our ecosystem of database tools listed in our Our Ecosystem: Who we share your data with section (above).

We have chosen as a business to not send or share data outside of this ecosystem without your consent, outside of any Obligated to keep requirements.

What data breach procedures we have in place

We do not maintain data outside of Our Ecosystem to ensure the organization of our data, as well as we have carefully thought of the architecture that will provide us with the most security around our data but still empower us to do business daily.

We have thought deeply about and have prepared in the event of any 3rd party data breach (from one of Our Ecosystem providers). If we are notified of a 3rd party data breach of their system(s), we will retrieve all relevant information and then reach out to you and share this information with you via email. You may also take a look at each provider site individually (viewable in the Our Ecosystem section of this policy) to read more in-depth, as we are not responsible for it, nor do we have visibility to any details of the breach itself.

What third parties we receive data from

The information we receive from third parties only revolves around three areas:

  1. Candidate or Client data
    • Candidate data example: receiving information from LinkedIn or other public sites (can include career history information, contact information, resume or CV, etc.)
      • Examples:
        • LinkedIn.com
        • Indeed.com
        • Professional Groups (e.g. LinkedIn Groups, Facebook Groups)
        • Professional Organization Lists (e.g. members)
        • Google Search
    • Client data example: receiving information from Google or other public sites (can include information to contact, business ownership, employment, customer service, job postings/listings, etc.)
      • Examples:
        • LinkedIn.com
        • Google Maps
        • Google Search
  2. Placement of a Candidate data
    • Example: completing candidate-provided professional references in order to obtain employment with one of our Clients
    • Example: following Consent from our Candidate, receiving needed contact information from a Client in order to reach out directly to one of our Candidates
    • Example: sending invoice details from a Client to complete the hiring and placement of our Candidate
  3. Financial Information
    • This only applies to our Clients who complete payments for our fees.
    • We at James Search Partners bill our clients directly. This can include receiving payment information or reconciling payments for placements made by our Clients. It may also include the contact information of the financial representative of one of our clients.

Additional information

Given that our website is used by both Professional and Personal users, the regulations governing this data do differ. But what remains the same is that we take the Privacy of your Data incredibly seriously. We relentlessly attempt to adhere to the strictest guidelines (such as the GDPR or CPRA) with all data to ensure we are compliant with all.
